1. Overview
Each year, member associations may register up to two persons who will represent them at the FMBB Annual General Meeting (AGM). Registration happens in this portal under Annual meeting (after you log in).
This is separate from the officials you maintain on your membership dashboard (president, treasurer, and so on). AGM delegates are the people who attend the meeting and may hold a voting or observer role for that event.
2. AGM 2026 — date, agenda, admission
The FMBB board convenes its annual general meeting online via Zoom on 19 June 2026 at 19:00 (Brussels time).
The official meeting notice and numbered agenda (reports, budget, elections, and so on) are published on the portal: AGM agenda 2026.
Who may attend
Only associations that are in order with their 2026 membership and have registered delegates for the meeting will be admitted. The designated voting delegate must attend the online session, because voting takes place during the meeting.
One vote per country (multiple clubs)
Countries with multiple member clubs collectively have one (1) vote at the AGM. Each club may register up to two delegates, but only one person may cast the vote on behalf of the clubs in that country. That person must be registered as the voting delegate and attend the meeting.
The registration form enforces an additional rule for associations with a cooperation agreement: if another club in your country has already registered a voting delegate under such an agreement, you can only register an observer (see section 4).
3. Opening delegate registration
- Log in with your association’s login email and password (Member login in the menu).
- Click Annual meeting in the main menu, or use the Annual meeting tab in the member area (next to Membership data).
- You will see the registration page for the current calendar year.

4. Who you can register
Delegate registration can only be done by the person who is the club’s Main Contact FMBB (or equivalent contact known to FMBB) and who can log in to this portal. That is usually the manager or secretary listed on your membership dashboard.
- Maximum 2 delegates per association per calendar year.
- Each person needs a full name and a valid email address (required — used for meeting and voting-related communication).
- You choose a role for each person: voting delegate or observer (see below).
Registrations are stored per year. When a new calendar year starts, you register delegates again for that year if needed.
5. Voting delegate and observer
Voting delegate
A voting delegate is the person authorised to exercise your association’s vote at the AGM, in line with FMBB statutes and the rules for that meeting.
Observer
An observer may attend the meeting but does not act as the voting representative for your association.
One voting delegate per country (cooperation agreements)
If another member association in your country with a cooperation agreement has already registered a voting delegate for the same year, you may only register your person as an observer. The portal will show an error if you try to select “Voting delegate” in that situation.
This rule applies across associations in the same country, not only within your own club. If you believe the list is wrong, contact FMBB administration.
6. Registering a delegate
- On the Annual meeting page, use the form Register a delegate (shown while you have fewer than two registrations for the year).
- Enter Name and Email.
- Select Role: Voting delegate or Observer.
- Click Register.
After a successful registration, the person appears in the table Your registered delegates. You can register a second person the same way until you reach the limit of two.
If you already have two delegates, the registration form is hidden. Use Edit or Remove (see next section) to make room for someone else.
7. Editing or removing a delegate
In Your registered delegates, each row has:
- Edit — change name, email, or role, then Save changes. Use Cancel to return without saving.
- Remove — delete the registration after you confirm. You can then register a replacement if you are under the limit of two.
The same validation rules apply when editing as when registering (required email, voting role restrictions per country, and so on).
FMBB administration can also view and change registrations from the admin area. If they update your entry, refresh your page to see the latest data.
8. After registration is validated
When FMBB has validated your delegate registration, you and the registered persons will receive the necessary meeting information by e-mail (for example Zoom access and documents such as the minutes of the 2025 AGM for pre-reading).
Until validation, your entries are visible on the Annual meeting page after login, but meeting links and materials are not sent automatically.
The published AGM agenda is always available on the portal without login.
9. Membership, fees, and voting rights
Registering AGM delegates does not replace your normal membership obligations.
- Your association must be in good standing (membership fees In Order for the relevant year) to retain voting rights as a member association. See the Member guide — membership history.
- The Voting rights badge on your dashboard reflects FMBB membership status, not the AGM delegate role you assign here.
- Officials on the dashboard (president, secretary, etc.) are independent of AGM delegate registration.
10. When to contact FMBB
Contact FMBB administration when:
- You cannot log in to register delegates
- The portal says AGM registration is not available (database not ready)
- You disagree with the “one voting delegate per country” message
- You need a delegate changed but no longer have access to your login
- Your membership status or voting rights on the dashboard need correction
For routine changes—registering, editing, or removing delegates—you can use this portal yourself after logging in.
